Cycling Holiday Participation Agreement

(Participation Waiver & Release of Liability)

This Agreement is between Allez Escapes Limited (“the Organiser”, “we”, “our”, “us”)

and the undersigned participant (“I”, “me”, “my”, “the Participant”).

By signing this document, I acknowledge and agree to the following terms and conditions for participation in any cycling holiday, training camp, retreat, activity, transport, or event organised by Allez Escapes Limited (including its directors, employees, contractors, ride leaders, guides, support staff, and partners).

1. Assumption of Risk

I understand that cycling and associated activities carry inherent risks, including but not limited to:

– collisions with vehicles, other cyclists, or obstacles

– falls, crashes, mechanical failures

– heat exhaustion, dehydration, medical emergencies

– poor road surfaces, weather conditions, traffic, animals, or unexpected hazards

– risks during group riding, descending, and high-intensity efforts

I voluntarily choose to participate with full knowledge of these risks, and I accept full responsibility for my participation.

2. Fitness, Health & Personal Responsibility

I confirm that:

•     I am physically and emotionally capable of safely participating in all planned activities.

•     I will ride within my limits and communicate any concerns to the Organizer.

•     I will follow all safety instructions, route guidance, and decisions made by the organiser’s staff.

•     I will at all times wear a properly functioning helmet and maintain my equipment in safe working condition.

3. Medical Conditions & Disclosure

I agree to fully disclose any medical conditions (past or present), injuries, allergies, or medications that may impact my safety or the safety of others.

I understand that failure to disclose relevant information increases risk, and I accept full responsibility for any consequences of non-disclosure.

4. Personal Travel Insurance (Mandatory)

I understand that it is my responsibility to hold valid travel insurance that:

•     covers cycling and high-intensity sporting activities

•     covers medical emergencies, repatriation, cancellation, and personal liability

I agree to provide proof of insurance before the holiday begins.

5. Health Cover Recommendation

Where applicable, I am advised to carry a valid GHIC/EHIC or equivalent health cover.

6. Equipment Responsibility

I am solely responsible for:

•     the condition, suitability, and maintenance of my bicycle and equipment

•     any loss, theft, or damage to my own equipment

•     ensuring that my bike is safe and professionally maintained prior to travel

The Organiser is not liable for mechanical issues, damage during travel, or setup errors.

7. Liability Release & Waiver

In consideration of being permitted to participate, I hereby fully release, waive, and discharge Allez Escapes Limited and all associated personnel from any and all claims, demands, actions, liabilities, or damages arising from or connected to my participation in the cycling holiday, including claims resulting from negligence, to the maximum extent permitted by law.

This includes, but is not limited to:

•     personal injury

•     illness

•     property damage

•     loss of earnings

•     third-party claims caused by my actions

•     any incident occurring during activities, accommodation, meals, transfers, or travel arranged by the Organizer

Nothing in this clause limits liability where it cannot be excluded by law (e.g., fraud, gross negligence).

8. Indemnification

I agree to indemnify and hold harmless the Organiser from all costs, losses, damages, and legal expenses arising from:

•     my actions or behaviour

•     damage to property (hotel rooms, vehicles, equipment, etc.)

•     injuries or losses caused to third parties

•     breaches of this Agreement

9. Behaviour & Conduct

I agree to behave responsibly and respectfully throughout the trip. I understand that:

•     the Organiser may remove me from activities if I am deemed unsafe, intoxicated, or disruptive

•     no refund will be provided if I am removed for inappropriate behaviour

10. Accommodation & Property Damages

I am financially responsible for:

•     any damage caused by me to hotel rooms or facilities

•     additional cleaning fees

•     lost keys, property, or equipment

•     any charges applied by the accommodation provider as a result of my actions

11. Transport & Support Vehicles

I acknowledge that transport by car, van, or other vehicle carries inherent risks. I agree that the Organiser is not liable for:

•     injuries arising while entering/exiting vehicles

•     incidents during transport

•     baggage damage or loss

12. Environmental Risks

I acknowledge the risk of:

•     extreme weather

•     road closures

•     wildlife

•     natural hazards

•     heat, cold, wind, rain, altitude

The Organiser may alter, shorten, cancel, or delay activities for safety or operational reasons.

13. Cancellations & Refunds

I understand that:

•     deposits may be non-refundable

•     late cancellations may incur partial or full charges

•     the Organizer may cancel activities due to weather, safety, illness, force majeure, or low numbers

•     refunds for such cancellations follow the Organiser’s policy, not hotel/airline policies

•     the Organiser will look to rebook you onto the next available trip in the event of late cancellation, if this next available trip is missed the organiser’s have the right to the full paid amount

14. Force Majeure

The Organiser is not liable for delays, changes, or losses caused by events outside its control, including:

•     strikes

•     weather

•     natural disasters

•     political events

•     pandemics

•     airline cancellations

•     government restrictions

15. Emergency Medical Treatment

I authorise the Organiser to arrange emergency medical treatment if required. I accept full responsibility for all associated costs.

16. Photography & Media Consent

I grant the Organiser full permission to:

•     take photos/videos of me during the trip

•     use such content for marketing, social media, and promotional material I waive any right to compensation.

17. Data Protection (GDPR)

I consent to the Organiser storing and processing my personal data solely for the purpose of delivering the holiday, ensuring safety, and contacting me regarding updates.

Data will not be sold or shared beyond what is necessary for accommodation, logistics, safety, or insurance requirements.

18. Governing Law & Jurisdiction

This Agreement is governed by the laws of Northern Ireland / United Kingdom unless otherwise stated.

Any disputes shall be resolved exclusively in the courts of Northern Ireland.

19. Acknowledgement

I confirm that:

•     I have read and understood this Agreement in full

•     I am signing voluntarily

•     I understand the risks associated with participating

•     I agree to be legally bound by all terms
